Insurance & Pricing

At Heart & Mind Counseling Services we want beginning therapy to feel clear and manageable. This page explains which insurance plans we accept, who is eligible to use insurance for services, typical out-of-pocket costs, and how billing works. If you have questions after reading, contact our front desk and we’ll help verify benefits for your specific plan.

Accepted Insurance:

We currently accept the following plans:

  • Aetna

  • Cigna

  • CareFirst BlueCross BlueShield

  • UnitedHealthcare

  • Select Johns Hopkins plans

  • Medicaid

Note: “Select Johns Hopkins plans” means coverage depends on the specific Johns Hopkins network plan. Always let us verify benefits for your exact plan.

Typical out-of-pocket costs

  • For those without or not using insurance, our out-of-pocket rates for therapy sessions typically range from $20 to $130, depending on your therapist's licensure and experience as well as the type of session and length of appointment.

  • For those with insurance, exact cost for a visit depends on your benefits. We strongly recommend we verify your coverage before the first appointment. You can also do this by reviewing your insurance policy's Explanation of Benefits. 

Out-of-network & superbills

  • If you have out-of-network benefits, we can provide a superbill (a detailed receipt) so you may submit it to your insurance for potential reimbursement. Reimbursement rates and processes vary by insurer and plan.

  • If you plan to self-pay at the time of service, we accept major credit/debit cards and other common payment methods (ask our office for details).

Life coaching (separate from therapy)

  • Insurance does not cover life coaching. Coaching is not therapy and cannot be billed to health insurance.

  • Our standard life coaching rate is $100 per session, paid out-of-pocket at time of service.

  • If you’re unsure whether you need therapy or coaching, we’re happy to discuss the differences and help you choose the best option for your goals.

Payment and billing questions

  • Payment is expected at time of service for self-pay and coaching sessions. For insured clients we collect copays/coinsurance at the visit.

  • If you need help understanding a bill, questions about claims, or want a copy of a superbill, contact our billing team and we’ll assist.

Cancellation & No-Show Policy

We understand that unexpected situations arise. However, consistent attendance is important for therapeutic progress and to ensure availability for all clients.

We kindly ask that you cancel or reschedule appointments at least 24 hours in advance. This allows us to offer the time to another client in need.

  • Late cancellations (less than 24 hours’ notice) or no-shows will count as a strike.

  • After three strikes, your therapist or our practice manager may discuss discharging you from services or placing your account on hold before scheduling future sessions.

  • Repeated missed appointments may also affect your ability to rejoin services in the future.

We appreciate your understanding and cooperation. This policy helps us maintain fairness, consistency, and quality care for every client we serve.

Frequently asked questions

Q: Do you accept my employer plan?
A: If your employer plan is with one of the carriers listed above, we can verify your specific benefits. Contact us with your insurance card details.

Q: I live outside Maryland. Can I still attend via telehealth?
A: To use insurance and to be seen by our Maryland clinicians, you must reside in Maryland and/or be located in Maryland at the time of your appointment.

Q: What if I can’t afford the session fee?
A: If cost is a barrier, please contact us. We will discuss possible options and next steps.
